QUALIFICATIONS AND JOB DESCRIPTION

THE POSITION

The Personnel Logistics Specialist is a full-time position that coordinates personnel/equipment logistics and various office support services, including purchasing, staff expenses,facilities management, etc. 

 Responsibilities include, but are not limited, to:

  •  The main task is providing to the on-time mobilization of personnel to client departure points in Turkey and Internationally.

  • Responsible for personnel logistics - organizing accommodation, flights and supplying the necessary documentation required for mobilization and ensure the planners are updated with all movements.
  • Responsible for equipment logistics - Coordinating transportation providers to ensure prompt and proper movement of shipments in domestic and international.
  • Liaise with travel partners to ensure competitive rates and excellent service delivery.
  • Assist in the organization and coordinate all visa applications.
  • Monitoring expiry dates of official documents regarding personnel mobilization (visa, passport, training certificate, medical check reports et.) and support with booking training, vaccinations, and medicals as required. Recording certification in relevant databases.
  • Supporting day-to-day tasks of the team in the office.
  • Ensuring the timely controlling of Invoices before issuing payment orders
  • Ensuring the fulfillment of purchase orders
  • Maintain an up-to-date and organized filing system for all live and archived documentation, both electronic and hard copy, to ensure company procedures are being followed.
  • Assisting with administrative work when needed and requested

  

REQUIREMENTS

  • Minimum three years experience of purchasing flight tickets will be an asset
  • Able to handle personnel and equipment logistics and customs process
  • Highly organized with the ability to coordinate and prioritize multiple tasks
  • Demonstrated written and oral communication skills. Fluent in English
  • Proficiency with Microsoft Office software, including Word & Excel processing skills
  • Ability and willingness to work cooperatively with others
  • High degree of discretion dealing with confidential information
