QUALIFICATIONS AND JOB DESCRIPTION

  • Manage General Manager’s work and personal agenda. Maintain appointment schedule.
  • Make travel arrangements: hotel, flight reservations and visa transactions. And prepare business trip agendas
  • Personal tasks assigned by the General Manager such as follow up of house rental/utility payments, and organizing doctor appointments/personal holiday arrangements, issues related with private carKeep general order so that the office runs smoothly at all times.
  • Place local and international telephone calls, answers, screens, routes incoming calls, takes messages if required; uses judgment on whether to offer a response, transfers to related employee.
  • Meets and greets visitors; performs external services as situation requires.
  • Follow –up written and verbal communication (e-mail, v-mail etc.)
  • Organizes and maintains filing system
  • Arrange weekly/monthly meetings. Take meeting notes, set action plans and closely follow up with related person/department
  • Post office services, mail collection. Sending and receiving mail and packages (samples and documents) locally and abroad (DHL/UPS service) including tracking of delivery.
  • In charge of ordering office supplies, soft drinks (including arrange refrigerator, storage, orders), bottled water, office supplies (including keeping an inventory), gifts, refreshments/food supplies for staff and guests when/where required
  • Manage the cooking services through Office Chef and make sure he/she has all food supplies and necessary equipment to cook lunch for staff
  • Keeping sure office equipment runs smoothly; inc. changing toners, photocopier, etc.
  • Maintenance of stationary.
  • Responsible for out-sourced office cleaning services, office maintenance services (e.g: technicians) and office tidiness
  • Contact person for all office suppliers; cell phone reps, maintenance people (electrician, air-conditioning, printers, fax, computers, office cleaner, building superintendent) and work in coordination with purchasing and accounting department
