Purpose of the Position

The purpose of this position is to work as part of the administration team of the company.


Key Responsibilities


  • Ensuring safety procedures are respected by truck drivers, staff and visitors

    Executing mini-audits and near miss reports as required and forwarding these to the Quality and Safety Manager


  • High level of accuracy is required

  • Training for new administration personnel joining the company


  • Required to liaise with the Operations Team informing them of any changes to the scheduled operations

  • Good communication skills with Operations Team to ensure operational remarks are taking into account in line with the idea of continuous improvement


  • Planning daily inbound volumes taking into account planned inbound volume.

  • Communication about planning with Operations Team

  • Arrange and coordinate transport inbound (shuttles from the port to the terminal)

  • Arrange and coordinate transport outbound (when necessary)

  • Preparation and processing of inbound, manipulation and outbound orders

  • Critically checking the accuracy of the completed orders of the operators

  • Communicating with customer, transport companies and suppliers

  • Executing the daily in-and outbound check as required

  • Stock control and reconciliation

  • Preparation of the monthly invoicing and follow-up of amounts payable of the clients

Shared Responsibilities

  • Working to a high standard of quality and continuous improvement in all areas of our administration department

  • Ensure that a good commercial relationship exists and that there are high levels of customer satisfaction

  • Work by the practices of the KTN group policy on HSEQ and corporate sustainability, your input and support matters
