Office Assistant and Document Controller Job Description

We are searching for an “Office Assistant” to be responsible for handling clerical tasks and to handle the intake, management, and storage of our company's documents. In this role, you will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands and you will be required to review, process, and file documentation as well as manage the smooth running of all our documentation operations also.

To ensure success as an “Assistant” you should be up to date with document management processes and have a detail-oriented mindset. A top-notch document controller will have an extensive understanding of document management software and be able to handle document access intaking and archiving responsibilities. You will need the ability to write clearly and be proficient with word processing applications. A pleasing personality with strong communication skills is also highly valued.

Responsibilities:

·         Greeting clients and visitors as needed

·         Organizing travel by booking accommodations and reservations needs as required.

·         Coordinating events as necessary.

·         Maintaining supply inventory.

·         Aiding with client reception as needed.

·         Handling incoming calls and other communications, intake, scanning, verification, and storing documents.

·         Managing, filing and archiving relevant documentation.

·         Retrieving files for other employees and customers when needed.

·         Designing templates for documents, file types, and document databases.

·         Checking and editing documents for accuracy and compliance.

·         Controlling the flow of documents in and out.

·         Reporting errors or developments regarding document storage.

·         Ensuring the secure destruction and disposal of sensitive documents.

·         Updating and maintaining document management systems and physical records.

·         Maintaining the security of confidential documents.

Requirements:

·         Minimum two years' experience in office assistant and document management

·         Familiarity with relevant softwares about document management

·         An excellent grasp of Office softwares and equipment.

·         Warm personality with strong communication skills.

·         Ability to work well under limited supervision.

·         Detail-focused document organizing abilities.

·         Time-oriented approach to handling queries and tasks.

Preferred Candidate

High School(Graduate), Associate Degree(Graduate), Bachelor’s(Graduate)
Completed, Exempt
English(Reading : Advanced, Writing : Advanced, Speaking : Advanced)
