QUALIFICATIONS AND JOB DESCRIPTION

We are looking for candidates to manage the administration of the Management Office in a courteous and professional manner befitting a prestigious 5 star hotel with the highest standards of administrative support to General Manager and Chairman of the Board and to execute marketing strategies for the company. This includes communicating the brands’ messaging clearly and effectively to several audiences, executing projects and events flawlessly and in a timely manner, being adaptable and reliable and representing the ownership company in a professional manner.

Reporting to General Manager and Hotel Owner, this role will require daily communication with key department heads, media, suppliers, and the hotel guests. The purpose of the position needs to define itself in time depending on different cases and responsibilities. The candidate will also be responsible for creating and achieving the public awareness about the hotel and outlets and managing online channels and social media platforms that will improve the property’s overall key financial and customer metrics. This position will appeal to a highly motivated, flexible individual who enjoys working in a busy and changing environment.

 

Job Description

Handling Management Office Functions including;

· Function as the first point of contact for General Manager and Hotel Owner from both internal and external enquiries. Initiate a flow of information about organizational needs.

· Maintain accurate and efficient filing systems, ensuring timely, safe follow-ups and traces and ensure offices are neat and tidy.

· Handle and respond to guest complaint letters and social media reviews.

· Prepare gift vouchers, prizes, donations, guest cards, letter of thanks, reports as requested.

· Handle travel arrangements, visa and accommodation where appropriate.

· Organize monthly department meetings, take, type and distribute the minutes of meetings.

· Interact with guests.

· Provide translation support where needed.

 

Managing Marketing/PR/Social Media activities including:

· Develop, proactively manage and implement the annual hotel marketing and PR plan to include media relations, social media, internal communications, eCommerce, brand recognition and loyalty marketing within budget guidelines.

· Manage for all social media accounts and implement social media and content marketing strategy to grow social media presence

· Lead effective content management across all available channels, including hotel website , OTAs, social media, mobile marketing and PR and partnership programs

· Manage the property website and keep it up to date with photos, content, promotional information, links, rate offers and new information etc.

· Ensure all departments receive full marketing and PR support including collateral creation as brand champion.

· Manage all media relations activities and information.

· Measure key performance indicators relating to all marketing and PR activities, promotions and campaigns, and producing performance reports for all key stakeholders. Monitor, analyze and communicate social media results on a monthly basis.

· Manage the roll out of marketing and PR initiatives to support the hotel in meeting their targets, also by leveraging key function activity with regional marketing, corporate communications, eCommerce, marketing operations, strategic partnerships and Marriott Bonvoy

· Manage advertising activities and handle all advertising enquiries. Keep close relationship with the advertising agencies.

· Maintain photo library, coordinate in-house photography for F&B promotions and manage photo shootings

 

EXPERIENCE, JOB KNOWLEDGE, SKILLS AND ABILITIES

· Bachelor’s degree in Tourism, Business, Communications or Marketing is preferred

· Experience of the hotel industry, social media marketing or e-commerce is preferred.

· Excellent all-round administrative and communication skills

· Excellent computer skills - sound knowledge of word processing, spreadsheet, database, presentation, email, internet & intranet systems

· Fluent English is a must.

· Ability to maintain complete confidentiality at all times

· Be highly professional in appearance, character and conduct

· Be able to work under pressure both as part of a team and also working on own initiative

· Detail orientated, organized and efficient

· Experience in managing websites and online marketing and solid understanding of development for dynamic websites and/or content management, off-line marketing is a plus
