WYG Türkiye is currently seeking a skilled Event Assistant to join our Project Management team in Ankara.
This position requires specific qualifications, which include:
- Bachelor’s degree in Tourism and Hotel Management, Hospitality, Public relations, or Marketing, and/or equivalent years’ experience in meeting planning or related business,
- Intermediate experience in marketing, project, and program management,
- Knowledge on air fares and ticketing rules and service charges,
- Strong negotiation skills,
- Minimum 2 years’ experience in event management,
- Network within the sector will be a definite advantage,
- Experience with high level executive meetings a plus,
- Candidates should have excellent presentation skills,
- Exceptional work ethic and commitment,
- Proven leadership skills and experience managing third party vendors,
- Exceptionally detail oriented and conscientious with excellent planning and organizational skills,
- Ability to work effectively in a shared services environment,
- No Travel Restrictions,
- Strong Microsoft Word, Excel, and PowerPoint Skills,
- Excellent command of English (written and spoken).
JOB DESCRIPTION
Assisting in;
- Site Selection: Responsible for researching meeting sites, conducting bidding processes, and recommending venues according to event requirements (location, size, cost, etc.). Negotiate event agreements to achieve maximum cost savings opportunities,
- Contract Negotiation: Negotiate hotel and offsite venue contracts while adhering to all WYG Turkey processes,
- Event Management: Oversee various company events from inception to completion including venue selection, contracting venue and third-party vendors and all aspects of the including attendee management, registration websites, rooming, transportation, food & beverage, and all logistics coordination,
- Develop detailed pre-event budget estimates, track related expenses, and negotiated savings, post event invoice reconciliation and final budget reports for each event,
- Develop excellent relations with sub-contractors (travel agencies, project offices, advertisement companies etc.),
- Cost management of the activities related to subcontractors and preparation of the financial reports.
