Our client is one of the leading financial services company. For their future development plans, we are looking for an OFFICE MANAGER
Job Description
Working alongside the Managing Directors of the organization, the person will be responsible for the following:
- Assisting 3 Managing Directors;
- Coordination office operations and procedures with the aim of organizational effectiveness and efficiency;
- Ensure security and confidentiality of data;
- Developing a service providers network;
- Overseeing general office operation
- Coordinating appointments and meetings and managing team's calendars and schedules;
- Organizing company events, booking transport and accommodation;
- Ordering stationery and equipment;
- Maintaining the office condition and arrange necessary repairs;
- Supervising and monitoring the work of administrative staff;
- Organizing induction programmes for new employees;
- Ensuring that health and safety policies are up to date;
- Coordinating the outsourced services providers including accountants, IT specialists, and architects/repairmen, among others;
- Managing the banking relationships and facilitating the payment transactions;
- Conducting/following up customer billing and payment receipts;
- Liaising with facility management vendors, including cleaning, catering and security services;
- Assisting the organization's HR function by keeping personnel records up to date, arranging interviews and so on.
Qualifications
The successful candidate should be very cheerful and positive attitude. S/he should be able to have capability and strength to follow up tasks/projects. The successful candidate should have Bachelor's degree in business administration, communications, or a related field and minimum 5 years experience in a similar role. S/he should be able to speak English advanced. S/he should be eager to help and have high sense of urgency. S/he should be energetic, a selfstarter, driven and result oriented. S/he should have excellent communication and interpersonal skills as well as strong problem-solving skills.
