QUALIFICATIONS AND JOB DESCRIPTION

Purpose of job
 
Smooth run of Frontline Customer Services, reception operations and corporate services for Maya office in Istanbul.
 
 
Context and environment
 
The British Council’s Wider Europe region is very diverse, stretching from the Western Balkans to Central Asia. Our top priority countries within it are Turkey, Russia and Israel, and it includes many of the countries of the former Soviet Union and former Yugoslavia.
 
Turkey is a top priority country for the British Council.  As a key - if controversial - candidate for EU accession, it is of immense importance to the EU and Europe generally. Although its economy shrunk after the 2008 financial crisis, it has bounced back and is growing quickly. This economic development is set to continue on the back of a highly dynamic private sector.
 
The British Council has been operating in Turkey since 1940. We currently have over 60 staff located in Ankara and Istanbul, and active outreach through partners in cities across the country.
 
We are ambitious in Turkey to build on the British Council’s respected and trusted brand by responding to new opportunities from government, business and individuals for high quality English language learning and qualifications, engaging new audiences through a world class arts programme from the UK, strengthening collaboration with the UK in higher education and vocational skills development through policy dialogue and partnerships, providing new marketing services to UK higher education institutions and offering UK experience to support education and social development reform in support of Turkey’s EU pre-accession agenda. Our examinations business is now the biggest in Europe for IELTS and Young Learner tests in Europe, we have plans to open teaching centres in 2015 and we are investing in growing our full cost recovery contract business for clients including the EU.
 
Ankara, as the capital and seat of government, is the base for our country management, including Finance and HR functions, and our partnership work in support of Turkey’s national reform initiatives in English, Education and Society.  Istanbul, as Turkey’s commercial and creative hub, is the base for our customer-facing services in English, examinations, education and the arts and offers scope for developing relationships with the private and international sectors. Our marketing and communications team operates from both offices.
 
Istanbul also operates as a regional hub for the Wider Europe region and frequently hosts colleagues from regional and global teams and services regional meetings and events. Our ambition is to establish Istanbul as a benchmark for the region and beyond by increasing customer standards continuously.
 
The Front of House and Admin Assisstant will be based in Maya office. The post will be line managed by the Head of Network Operations and work closely with the rest of the operations team in Turkey.

İŞ TANIMI

Accountabilities, responsibilities and main duties
 
  • Front of Office Administration
    • Telephone, email and mail enquiries answered according to the CS standards in line with the Global Customer Services Policy and Framework for both offices in Istanbul.
    • Delivery of reception/concierge services in accordance with the British Council’s policies, and to comply with relevant legislation on, health and safety, fire and security and risk management.
    • Maintain documentation relevant to the reception services function so that this is up to date, appropriate and readily available to customers and stakeholders.
    • Carry out routine financial transaction processing on FABS/SAP and relevant Year End procedures for processing journals, pre-payments and accruals as required, appropriate to job role and level of responsibility and in accordance with British Council corporate financial procedures.
    • To deliver and prioritise as appropriate the front of house security duties at the British Council Istanbul. Ensure provision of advice to visitors on the use of their security passes and check that visitors are made aware of relevant emergency and security procedures.
    • To liaise with the line manager and Maya Akar Center building management regarding security issues.
    • Staff and premises contact information kept up-to-date on BC Internet, local Intranet and in BCP files and annexes.
 
  • Administrative andoperational duties
    • Acting as first point of contact and a business partner for teams in Maya office, acting on information received and, where appropriate, adapting services accordingly with the agreement of the line manager.
    • Support line manager in aligning services at the same standards at both offices in Istanbul.
    • Ensure smooth day-to-day information and document flow between two offices in Istanbul, and to/from Ankara office.
    • Support Corporate Services Team in maintaining integration and togetherness of offices and teams in Istanbul and Ankara.
    • Handling the day to day tasks for running of the Maya office, providing administrative support to the line manager in managing a range of services, ensuring the smooth running of Smart Working practices, maintenance of the office, equipment, assets, inventory, internal and external storage and archiving in order to provide a safe, and efficient working environment for teams.
    • Working with the Corporate Services Coordinator to ensure that Maya office meets Health & Safety standards.
    • Assist with administrative work for UK-appointed expatriate posts based in Maya office.
    • Assist line manager in planning and managing the Maya office overhead budgets; provide input and escalate diversions from standard.
    • Support line manager in introducing and implementing corporate initiatives at Maya office.
    • Operating Maya office petty cash float in accordance with the corporate regulations.
    • Provide support to IT Manager for day to day tasks being back-up tape handling; monitoring server room for abnormalities such as door security, power supply and warning signals; assist staff with IT pool usage.

  • This is a fixed term position for two years
  • Monthly gross base salary: J band – 2330-TL (gross) per month.
