Requirements
Education
· Bachelor’s degree or above, preferably in Business Administration, Administrative Management,Logistics, Information Management, or related fields.
Language Skills
· Fluent in English with excellent verbal and written communication skills.
· Capable of communicating effectively with expatriate employees and providing reports andpresentations to management in English.
Work Experience
· Minimum 2–3 years of experience in Administration, Facility Management, Workplace Management,or Operations Support functions.
Core Competencies
· Proficient in Microsoft Office applications, especially Excel, as well as digital management systemsand dashboards.
· Strong coordination, organization, and multitasking abilities.
· Excellent problem-solving and crisis management skills, with the ability to respond effectively underpressure.
· Strong sense of ownership, attention to detail, and service-oriented mindset.
Job Responsibilities
· Manage monthly office procurement activities and office supply replenishment; conduct regularinspections of common areas to ensure proper usage and maintenance.
· Oversee the daily management and performance tracking of pantry, catering, and cleaning servicepersonnel, and coordinate payroll-related matters.
· Ensure timely payment and reconciliation of all administrative recurring expenses, includingemployee apartment rent, office rent, utilities, internet services, SIM card charges, and otheroperational expenses.
· Draft and manage administrative contracts, ensuring compliance with legal and companyprocedures, while following up on approval workflows and contract lifecycle management.
· Coordinate end-to-end maintenance, repair, and troubleshooting services for expatriate employeeapartments and company office facilities.
· Evaluate and monitor the performance of third-party vendors, including maintenance serviceproviders, vehicle rental companies, and other suppliers, while identifying cost optimizationopportunities.
· Establish, update, and maintain employee asset and fixed asset records within digital managementsystems; oversee asset allocation, transfer, and handover processes.
· Provide administrative support for new employee onboarding, including office equipment allocation,asset handover, and access card issuance.
· Plan, organize, and coordinate company events, meetings, festive celebrations, employeeengagement activities, and other internal events.
· Collaborate with the Human Resources team to manage employee meal card top-ups and relatedwelfare benefit distribution.
· Manage the company vehicle fleet, including mileage tracking, preventive maintenance scheduling,tire replacement arrangements, vehicle leasing, fuel payment management, and traffic violationhandling.
· Maintain close communication with building management and coordinate annual fire drills, firealarm system maintenance, and Environment, Health & Safety (EHS) activities.
· Prepare weekly and monthly operational reports, cost analysis reports, and managementpresentations on a regular basis.
