QUALIFICATIONS AND JOB DESCRIPTION

Responsibilities:

  • Manage CEOs' and COOs' calendars, including scheduling meetings and appointments.
  • Coordinate domestic and international travel arrangements.
  • Handle incoming calls, emails, and other communications, prioritizing and responding as necessary.
  • Support and assist various ongoing projects for the organization.
  • Track the progress and deadlines of the projects and manage their documentation.
  • Support project planning in its strategies and objectives.
  • Schedule events with precision and ensure that all participants receive the necessary materials in advance.
  • Find suitable venues and coordinate all logistics for the events and meetings.
  • Follow up on action items for accountability and timely completion of tasks.
  • Prepare and edit documents, presentations, and reports.
  • Attend meetings, take minutes, and follow up on action items.
  • Conduct research and compile data as needed to support executive decision-making.
  • Maintain office supplies inventory and ensure office organization.
  • Assist in managing various administrative processes, like expense tracking, budgeting, and invoicing.
  • Identify areas for process improvement and implement efficient administrative systems. 

Additional Responsibilities:

  • Collaborate with the Administrative Affairs Specialist to track inspections of company vehicles.
  • Coordinate the organization of meetings between departments within the company, inform department managers, write meeting minutes, and distribute them.
  • Ensure that contracts/documents requiring signatures by management are reviewed by relevant departments and then presented for approval for subsequent signing.
  • Monitor the tasks of the cleaning staff, organize meal arrangements, and oversee kitchen purchases.
  • Ensure the maintenance of internal order within the company, ensuring the suitability and cleanliness of meeting rooms and conducting inspections. 

Qualifications:

  • Bachelor's degree or equivalent experience.
  • Minimum 2-3 years of experience as an Executive Assistant.
  • Proficiency in MS Office Suite.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills in English and Turkish.
  • Ensure customer satisfaction by providing excellent service and support

Preferred Candidate

3 - 15 years of experience
