As the solution partner and representative of Oil States Industries in Turkey, Mod Offshore provides a full range of services for the maintenance, repair, refurbishment, modification, and recertification of surface and subsea equipment. In conjunction with our national and global network, we offer tailor-made solutions through collaboration with industry-leading partners in accordance with manufacturer standards and industry regulations.


Mod Offshore also aims to provide significant support to clients by assisting in the execution of engineering projects and strategic Asset Management Plans (AMP) for their offshore ventures. Our priority and main motivation at Mod Offshore is to contribute to the nationalization of offshore operations and to become a service exporter with the experience we aim to gain in the near future.


We are looking for a Administrative Affairs Specialist who is experienced in administrative operations, capable of managing expat processes, travel organizations, and site-related activities, and able to work in a fast-paced and dynamic environment with local and international teams in Zonguldak.

Responsibilities


  • Planning and managing domestic and international travel arrangements, including flight bookings and schedule coordination
  • Communicating with expatriate employees from the UK, Europe, and other regions to organize travel and mobilization processes
  • Acting as the first point of contact for expat employees during mobilization processes
  • Coordinating work permit and exemption applications with external consultants and ensuring timely follow-up
  • Managing expat expense processes, consolidating costs, and preparing expense forms for approval
  • Managing port entry procedures at Filyos Port, including access cards, documentation, and permissions
  • Overseeing company housing operations, including maintenance, cleaning, utilities, and overall organization
  • Tracking rent, invoices, and related payments for company accommodations
  • Managing company vehicles, including maintenance, service, and operational readiness
  • Ensuring coordination between site and head office teams
  • Supporting all administrative operations with a strong sense of ownership and follow-up


Qualifications


  • Bachelor’s or Associate degree in a relevant field
  • Minimum 3+ years of experience in administrative affairs, operations, or similar roles
  • Experience working with expatriates is a strong asset
  • Very good command of English (both written and spoken)
  • Strong organizational and coordination skills
  • High attention to detail and strong follow-up discipline
  • Strong communication and interpersonal skills
  • Ability to work in a dynamic and fast-paced environment
  • Problem-solving mindset with the ability to take quick action
  • Flexibility to adapt to changing operational needs
