Position: Administrative Executive
1. Introduction
The Singapore Embassy in Ankara is hiring a full-time Administrative Executive (AX) who will report to the Administrative Secretary. The duties of the AX are as follows:
- Assist the Embassy’s diplomatic staff in their appointments and programmes, e.g., medical appointments, language programmes, posting/de-posting procedures, rental and furniture lease agreements, telecommunications/ water/ electricity/ gas subscriptions
- Carry out other administrative matters in support of the Embassy’s administrative processes and policies, including internal financial procedures
- Manage the Embassy’s official stocks (e.g., liquor, stationery, other supplies) and gifts, including sourcing and procurement, declaration, stock-taking, and record-keeping
- Assist in the Embassy’s construction project, including record-keeping and liaising with the local project consultants and lawyers
- Manage the Embassy’s rental lease agreement, telecommunications/ water/ electricity/ gas subscriptions
- Oversee the logistical requirements of the Embassy, including obtaining quotations and liaising with vendors
- Manage administrative and logistical matters related to visits by the Embassy’s diplomatic staff and delegation visits from Singapore
- Plan and carry out the Embassy’s official meetings, events, visits and other activities, including those for Singaporeans living in Türkiye
- Assist with consular cases in Türkiye involving Singapore citizens and liaising with the relevant Turkish authorities, as well as the Singapore Honorary Consulate-General (HCG) office in İstanbul
- Oversee documentation processes related to consular and visa matters, such as legalisation of documents, passport and visa applications, as well as fee collection related to these services
- Assist the Embassy in management of Mission’s Emergency Preparedness plans, equipment and collaterals
- Research on information and prepare statistics related to consular, visa, and administrative matters
- Attend to public queries that the Embassy receives. Queries can come in the form of telephone calls, electronic mails, social media platforms etc.
- Make unofficial translation/carry out unofficial interpretation for internal use within the Embassy
- Any other duties as assigned by the supervisor
2. Requirements
Qualifications and Experience
- Bachelor’s degree in any field.
- Excellent proficiency in Speaking/Reading/Writing for English and Turkish languages required(Please note: Language proficiency will be tested).
Skills
- Able to communicate in fluent English with members of public in a timely and professional manner.
- Able to independently source for information and analyse them, including liaising with Turkish authorities and vendors.
- Able to independently plan and organise the Embassy’s events, under the supervision of the Embassy’s diplomatic staff.
- Demonstrates a high level of attention to detail
- Competent IT skills in Microsoft Office.
- Familiarity with social media platforms such as Facebook and Instagram.
Other Requirements
- Able to travel overnight with the Embassy’s diplomatic staff for official visits outside of Ankara, where necessary.
- Able to support the Embassy after working hours, when required (e.g., render consular assistance).
- Legal status to reside and work in Türkiye.
3. Salary and Benefits
Salary
- Starting gross monthly salary of between USD 1,390 to USD 1,810, depending on relevant experience and qualifications(Please note that 15% will be deducted from the employee’s gross monthly salary as personal social security contribution made by the Embassy to SGK on behalf of the employee, and the Embassy would contribute an additional 21.75% employer’s contribution.)

Bonuses
- Annual 13th month bonus (1 month)
- Annual Performance Bonus depending on performance (up to 2 months)
- Annual Variable Component bonus, depending on Singapore’s economic performance for the year of review (0.5 to 1 month)
Please note that annual bonuses are pro-rated and will range between a guaranteed 1 month’s salary, to a maximum of 4 months’ salary.
