Executive & Personal Assistant To Board Members
About Job
We are looking for an Executive & Personal Assistant to Board Members who will manage the business and personal organization processes of our Board Members with a high level of confidentiality, attention to detail, and professionalism.
Responsibilities
• Manage the daily schedules, calendars, meetings, and appointments of Board Members,
• Plan and coordinate domestic and international travel arrangements for Board Members and their family members from end to end,
• Organize and follow up on flights, accommodation, transfers, car rentals, and reservations,
• Coordinate visa, passport, travel documentation, and other required formal processes,
• Manage family members’ personal schedules, appointments, travel, and similar arrangements,
• Develop fast and effective alternative solutions in cases of changing travel plans, flight cancellations, reservation changes, and other urgent situations,
• Organize private events, restaurant reservations, meetings, events, and guest arrangements,
• Ensure effective coordination between business and personal schedules,
• Carefully manage multiple simultaneous schedules, priorities, and ongoing arrangements,
• Communicate with domestic and international service providers when required,
• Maintain the highest level of confidentiality regarding personal information and private matters throughout all processes.
Qualifications
• Bachelor’s degree from a relevant university department,
• Preferably at least 5 years of experience as an Executive Assistant, Personal Assistant, Board Assistant, Chairman’s Assistant, or in a similar role,
• Experience working with senior executives, Chairpersons, business owners, or within family-owned companies,
• Excellent written and spoken English,
• Strong experience in domestic and international travel, accommodation, and reservation arrangements,
• Ability to manage the schedules of multiple senior executives and family members simultaneously,
• Strong planning, follow-up, problem-solving, and crisis-management skills,
• Detail-oriented, proactive, and solution-focused,
• Strong communication and representation skills,
• High level of discretion, reliability, and professional ethics,
• Ability to adapt to a fast-paced and dynamic working environment,
• Proficiency in MS Office, Outlook, and digital calendar applications,
• Flexibility to manage urgent organizational changes outside standard working hours when necessary.
Preferred Qualifications
• Previous experience in a Family Office, Chairman’s Office, or CEO Office,
• Experience in international travel and VIP organization processes,
• Knowledge of a second foreign language.
