We are looking for an experienced, highly organized, and proactive Executive Assistant to the CEO to provide high-level executive support and help coordinate business operations across the organization. This role requires strong judgment, discretion, attention to detail, and the ability to manage competing priorities in a fast-paced executive environment.
Responsibilities
Executive Support
- Manage the CEO’s calendar, meetings, travel arrangements, and business priorities.
- Coordinate personal appointments and selected personal matters with complete confidentiality.
- Prepare meeting agendas, presentations, reports, and executive summaries.
- Screen and prioritize communications, ensuring timely follow-up on critical matters.
- Serve as a trusted liaison between the CEO and internal and external stakeholders.
Business Follow-up & Coordination
- Track executive decisions and ensure agreed actions progress on schedule.
- Translate executive decisions into actionable follow-up plans to ensure timely execution across teams.
- Coordinate with relevant departments to collect updates, clarify priorities, and keep the CEO informed on key business matters.
- Maintain visibility over strategic priorities, deadlines, risks, and issues requiring executive attention.
- Prepare concise management summaries, reports, and presentations.
- Organize information clearly and help prioritize competing business demands.
Business Operations & Reporting
- Prepare management reports, dashboards, executive summaries, and business performance updates.
- Maintain accurate records of meetings, decisions, and action plans.
- Support the implementation, tracking, and continuous improvement of operational processes.
- Identify potential challenges early and escalate critical issues in a timely and structured manner.
Communication
- Act as a professional communication bridge between the CEO and internal stakeholders.
- Draft professional emails, presentations, and business correspondence.
- Coordinate executive meetings and ensure timely follow-up on key discussions.
- Proactively surface important matters that require the CEO’s attention or decision.
Qualifications
- Bachelor’s degree in Business Administration, Economics, Management, Industrial Engineering, or related discipline.
- 7–10 years of professional experience in executive support, business operations, consulting, project management, account management, customer success or a similar business-facing role.
- Previous experience in consulting, payroll outsourcing, professional services, or highly regulated industries is highly preferred.
- Excellent written and verbal communication skills in English.
- Strong organizational, project management, and stakeholder management capabilities.
- Advanced proficiency in Microsoft 365 applications.
- Ability to manage confidential and sensitive information with the highest level of professionalism, integrity, and discretion.
- Strong judgment, professionalism, integrity, and discretion in all executive interactions.
- Proven ability to manage multiple priorities, meet deadlines, and deliver accurate administrative support.
