Duties and Responsibilities
- To complete day-to-day personnel administration in response to requests and action plans.
- To ensure that all casuals are recorded, and that administration is complete and in accordance with legal requirements.
- To manage all administration processes of the People & Culture Department including but not limited to, annual leave permissions, overtime, employment contracts, month end salary reports
- To prepare manning reports as requested by the Senior People & Culture Manager
- To follow the Recruitment plan, ensuring all internal and company candidates are given fair consideration.
- To ensure that all appointments are referenced (with written reference requests sent out prior to appointment)
- To ensure that all recruits have valid work permits for Turkey and where requested, apply for work permits, administer renewals, extensions and cancellations of work permits by liaising with Immigration.
- To be aware of departmental headcounts, ensuring that they are in line with agreed departmental headcount budgets.
- To support the Senior People & Culture Manager with recruitment activities and candidate assessment according to MOHG policies and procedures
- To ensure all colleagues leaving MOIST complete an exit interview as well as all other necessary documentation. (Resignation letter, Quittance, Job clarification form etc.)
- To ensure all administrative tasks are completed in a timely manner which includes employee life cycle, all P&C administration duties and ad hoc P&C project.
- To support the Senior People & Culture Manager for managing the Disciplinary & Grievance procedures.
- To coordinate the sourcing of new materials related to colleague relations (i.e. birthday cards, farewell and / or birthday presents etc.) in conjunction with the Purchasing team.
- To manage the colleague shuttle service according to departmental needs and shift patterns.
- To check if benefits (especially Private Health Insurance) are correctly given to colleagues.
- To support the P&C Department in the organization of colleague events (Monthly Activities, Town Hall Meeting, Ramadan Dinner, Delight the Night)
- To carry out any other reasonable request as directed by the Senior People & Culture Manager.
